Privacy Policy

Last updated: August 25, 2026

Introduction

Typewave is a voice dictation application for Windows that helps you write faster by converting speech to text. This Privacy Policy explains how we collect, use, and protect your information when you use our service.

We are committed to protecting your privacy and handling your data transparently. This policy is written in plain language to help you understand exactly what happens to your information.

Information We Collect

Account Information

When you create a Typewave account, we collect:

  • Your email address
  • Authentication tokens for your desktop devices
  • Account creation and last sign-in timestamps

We use passwordless authentication via email magic links. We do not store passwords.

Usage Information

To provide the service and enforce usage limits, we collect:

  • Audio duration (measured in seconds) for each transcription request
  • Audio file size and format validation metadata
  • Request timestamps and processing performance metrics
  • Device token usage timestamps

Audio and Transcripts Are Not Stored

Importantly: We do not store your audio recordings or transcript content. When you use Typewave:

  • Your audio is forwarded to a third-party speech recognition provider only for the duration of the request
  • The transcript is returned to your desktop application immediately
  • Neither the audio file nor the transcript text is saved to our servers
  • Custom spelling prompts you provide are forwarded with your audio but are not stored

We only record that a transcription occurred and how long the audio was, not the content.

How We Use Your Information

We use the information we collect to:

  • Authenticate your account and verify desktop device access
  • Process your voice dictation requests by forwarding audio to a third-party speech recognition provider
  • Track your monthly usage for billing and quota enforcement
  • Monitor service performance and reliability
  • Send you authentication links and important service updates via email
  • Provide customer support when you contact us

Third-Party Services

Speech Recognition Provider

We use a third-party speech recognition service to transcribe your audio. Your audio files and optional custom spelling prompts are sent to this provider for processing. According to the provider's data practices, audio sent to their API is processed in real-time and not stored.

Authentication and Hosting

We use third-party cloud infrastructure providers for account management, authentication, and usage tracking. These services store your email address, authentication state, device tokens, and usage metadata. Standard web server logs may be collected as part of hosting operations.

Data Retention

We retain your information as follows:

  • Account information: Retained while your account is active
  • Usage metadata: Retained for billing and analytics purposes
  • Audio and transcripts: Not stored at all
  • Device tokens: Retained until you revoke them or close your account

If you close your account, we will delete your account information and device tokens. Usage metadata may be retained in aggregated, anonymized form for analytics.

Data Security

We implement security measures to protect your information:

  • All data transmission uses HTTPS encryption
  • Authentication tokens are securely hashed and stored
  • Access to your account requires valid authentication
  • You can revoke device access at any time from your account page
  • We limit active devices to five per account

While we take reasonable precautions, no system is perfectly secure. We cannot guarantee absolute security of your information.

Your Rights and Choices

You have the following rights regarding your data:

  • Access: You can view your account information, active device tokens, and usage from your account page
  • Update: You can update your email address by contacting support
  • Revoke device access: You can revoke individual device tokens at any time
  • Delete: You can request account deletion by contacting us

To exercise these rights or for data-related questions, please contact us using the information below.

Typewave is not intended for children under 13 years of age. We do not knowingly collect personal information from children under 13. If you believe we have collected information from a child under 13, please contact us immediately.

International Data Transfers

Typewave operates globally. Your information may be transferred to and processed in countries other than your country of residence. These countries may have different data protection laws than your country. By using Typewave, you consent to the transfer of your information to these countries.

Changes to This Policy

We may update this Privacy Policy from time to time. When we make changes, we will update the "Last updated" date at the top of this page. Material changes will be communicated via email when possible. Your continued use of Typewave after changes are posted constitutes acceptance of the updated policy.
